At reception desks, staff routinely handle sensitive information, from visitor information to incident reporting. AI can assist with transcription or request categorisation, but without proper governance it introduces risk. Crucially, organisations must prioritise explainability – understanding what data AI systems use and who has access to it – so that innovation does not come at the cost of accountability.

Hybrid working introduces further complexity, shifting communication into less controlled environments. Centrally managed IP phones provide consistent security regardless of location, ensuring AI-driven features such as meeting summaries or CRM updates remain governed. Organisations can define where data is processed and stored, maintaining sovereignty without limiting flexibility.

As AI matures, its value will be judged less by features and more by trust. Governance, transparency and data sovereignty are emerging as key differentiators for organisations deploying AI in communications.
